Minutes of Committee Meeting held on Monday 1st October 2007 at 7.30pm in Hexham Library

Present: Philip Latham, Monica Anderton, Mark Benjamin, Jenny Kinnear, James Jonas Jr.

  1. Minutes of the previous meeting were agreed as a true record apart from noting that Stan Beckensall’s book was not on Slavery but on Northumberland. The Slavery event had been a separate meeting.
  2. PL apologised in advance that he would have to cut back his work for FLIT because of commitments.
  3. We have a notice to file accounts by 31st January 2008 with the Charity Commission. This should be OK as AGM is set for next month.
  4. The new rug is now in place in Hexham Library. PL would organise some PR for this and also use the opportunity to publicise FLIT and make an appeal for new members. It was agreed to do this with National Bookstart Day as well when the library would be opened specially for the event.
  5. Apart from the coffee morning in Haltwhistle on the 14th December, no more events were planned for this year. It was agreed to hold the Manga event but to put it back to the new year. MA/MB would try and arrange for an author, either Mark Burnell or Peter Tonkin to attend the AGM meeting to make it more attractive to members and non- members.
  6. MA would go and see the library assistant in Corbridge to see if a coffee morning/afternoon was required and to find out the state of play with the  community library there.
  7. It was noted that JJ had raised £45 on his sponsored walk in the summer making the day quite successful for FLIT.
  8. It was agreed to make a further effort to raise larger sponsorship towards the bigger items needed by the libraries. PL/MA
  9. JK gave notice she’s leaving the country for a period of time from the New Year.
  10. Date & Time of next meeting: this will be the AGM, followed by the committee meeting and possibly a talk. Monday 26th November 2007 at 7.30pm in Hexham library.

 

 

Minutes of FLIT Committee meeting, held on 25th June 2007 at Hexham Library

Present: Philip Latham, Mark Benjamin, Monica Anderton

  1. Apologies : James Jonas and Jennie Kinnear
  2. Minutes of the previous meeting were agreed as a true record
  3. Matters arising:

a)      There was still no invoice from the Toy man. This would be ignored now.

b)      When JK gets back, will chase up new chair and rugs for children’s section in Hexham library.

c)      JJ had already paid in one cheque for his successful walk from Allenheads to Hexham to raise money for FLIT. Further sponsorship is still due from him. The coffee afternoon at Allendale was moderately successful, raising a further £35.

  1. Events:

a)      MB had been talking to Travelling Man company in Newcastle and they’re interested in moving out of the City to help support book events so there may be scope for some joint events. (possibly the AGM later in the year).

b)      At present, funding from the County is sufficient, probably, to replace the study chairs in Hexham Library. These are considered basic necessary items and must be considered the County’s responsibility.

c)      Neither MB and JK will be available as much this summer to assist with this year’s Summer Reading Challenge. There is plenty of PR about it however and the Courant has agreed to put £250 towards it

d)      PL will try for a PR piece in the Courant about FLIT. (Linked to an upcoming event.)

e)      With respect to the library changeovers, Haydon Bridge, Kielder and Corbridge are now being given as long as they want to find a solution to taking over from the County. Corbridge is now part of the Prudhoe group and MA will call in to assess state of affairs.

f)        Next coffee morning will be in Haltwhistle on 14th December. Lots of PR to be done well in advance.

g)      FLIT were asked to provide wine & nibbles for a couple of Hexham events; one in September to launch Stan Beckensall’s new book on Slavery in the Northeast. FLIT would also pay for good posters to support the events.

h)      The AGM is to be linked to an author event. Crime writer Mark Burnell was suggested (MA to check out his website) and the suggestion was made to do an event on Graphic novels as they’re very popular, aim at one of the County’s target groups,  and there might be sponsorship from Travelling Man.

     James thanked for agreeing to do sponsored walk for FLIT and for donating coffee and chocolates as prizes for a raffle

       a  Susi Gonchu at Tynedale & Forbidden Planet approached for funding for future events. FLIT to underwrite workshop with Susan Varty on July 7th.publicity for FLIT in Courant

       b  Summer Reading challenge – Big Wild Read

       c  Discussion about how to grow support for FLIT appeal via Courant

       d  Future events at Haydon Bridge, Kielder, Corbridge. No firm dates yet.

       e  Assistant Librarian post at Prudhoe to be filled but big reduction overall in staffing but opening hours in some libraries to be extended.

Minutes of Committee meeting held on 22nd January 2007

Present: Philip Latham, Monica Anderton, Mark Benjamin, Jennie Kinnear, James Jonas Jr.

  1. Apologies were received form Bill Grigg and Brendan Powell.
  2. The minutes of the previous meeting were noted as a true record.
  3. Matters arising:

a)      The extra Coffee morning in Haltwhistle at Christmas made in excess of £38. Special thanks were noted for Jennie Kinnear who gave up her day off to help out.

b)      The author events had been moderately successful both at Hexham and Prudhoe. There was also a very successful talk by Stan Beckinsall so that ultimately, FLIT made a profit on sales of tickets despite paying for the refreshments.

c)      The Toy workshop was also successful and FLIT have agreed to pay half of the cost of that (£25). The invoice has not yet been received.

  1. There is £372 in the account at present.
  2. Future Events:

a)Dates for continuing Coffee mornings were agreed. There may be some slight problems with continuing Library support once the rearrangements following the review are put in place. These should be clarified in the next few weeks. In the meantime, it was agreed to try Wylam on Saturday 17th March; Allendale on 21st June and Haltwhistle on Thursday 13th December. (James has volunteered to do some baking for these). MA/JJ

b) James has also volunteered to do a sponsored walk to raise funds, probably 25 miles between Allenheads and Hexham. This will be in the summertime. MA to check out any rules.

c) A sponsored read of some sort in Hexham Library for children was suggested. This could possibly include a sleepover and could also be possibly linked to the launch of the next Harry Potter which is expected in July.  Possible sponsorship from Waterstones could be considered. MB/JK to work on.

  1. The chairman will continue to try and raise larger amounts of sponsorship by writing to other bodies including Waitrose and DSGI. The aim is still to replace the shelving in Hexham. PL
  2. AOB: JK requested a new rug for the children’s corner and some bits of furniture. This was agreed. JK

Minutes of committee Meeting, held on 26th June 2006 at 7.30pm in Hexham Library

Present: Philip Latham, Monica Anderton, Mark Benjamin, Jennie Kinnear, Brendan Powell. Invited guest, Marguerite Gracie, the new Head Librarian and James Jonas, a new interested Friend.

  1. Apologies were received from Bill Grigg and Ann Kenny
  2.  Library Review/consultation:

Marguerite announced that the beginnings of the review and consultation had just got under way with a press release which had been picked up by the Journal at the end of last week. Of  the 12 libraries under review, those in  our patch are Corbridge, Kielder, Wylam and Haydon Bridge. The NSP community model was used as a basis, hence Allendale and Bellingham have escaped for now. There will be stake-holder meetings shortly and letters will go out to confirm dates and venues. If groups are missed at this stage, can anyone let Marguerite, or anyone from Hexham Library, know. There will be further meetings late August and broader consultation as well. Philip will include the item in the Newsletter to go out shortly and people are encouraged  to contact FLIT through the websites at Hexham Net or Northumberland Life. We will endeavour to forward your views. The first stake holder meetings, provisionally, are:

6th July – 7.30 at Haydon Bridge; Brendan agreed to attend. (Philip will confirm date to him)

10th July - 7.00 at Kielder; Philip will attend

18thJuly – at 3.30 in Corbridge, Monica will attend (late)

24th July – 7.30 at Wylam, Philip and possibly Monica to attend.

  1. Finances:

There is £169.00 balance at present. The chairman will have a concerted effort at approaching other charities and bodies for funding. Monica suggested dsgi website; Marguerite suggested Lloyds plc, and the Big Lottery or the Community Council funding. It is still the aim to replace the shelving etc. at Hexham and the costs are now more likely to be nearer the £60,000 mark than when we estimated them two years ago. Marguerite agreed to update the figures and Philip agreed to tailor the letters to fit the charitable aims.

  1. Events:

The Murder evenings were still on for November next. Detailed arrangements would be made nearer the time but FLIT will sponsor. There are a number of summer events, especially for children and FLIT agreed to sponsor a series of small prizes (£5 book vouchers) for this and for the weekly Courant quiz which will be along the same lines. Cogito are also helping with this. The Chairman will talk to the Courant editor re a piece on FLIT in the paper.

  1. AOB:

Mark noted he had put the last set of minutes on the Northumberland Life website. It was noted the Charity Commission annual return was of the very minor type and would be filled in and returned.

This will be the AGM and will be held on 26th September 2006 at Prudhoe library.

 

Minutes of meeting of 25th April 2006, held at 7pm at Prudhoe Library

 Present: Philip Latham, Jenny Kinnear, Ann Kenny, Mark Benjamin, Monica Anderton and Demelza Cattanach

1. It was noted that a new Head of Libraries has been appointed.

2. The review of libraries has been postponed again. The County are going to consult externally before making  recommendations. It is believed that it will not be before the summer. It was agreed that FLIT could put the document on its website for comments to be received. FLIT will produce a response to it at the appropriate time.

3. Finances are slightly up. The Chairman will write some letters to try and get some new funding to add to the coffee morning funds. Tesco had refused to sponsor.The coffee morning at Wylam raised £70.

4. Author events: Demelza has agreed a visit from Anne Cleeves at Prudhoe Library towards the end of the year. Mark has also got Val McDermid to agree to a session in Hexham Library on November 11th . It was agreed that the two authors could be marketed together as a Murder/Mystery affair with tickets being for sale. Visitors could attend either event or both.. FLIT agreed to support the events as well.

 The crime theme is being continued for this summer’s reading challenge for children. It was hoped that FLIT could sponsor to some extent.

It was agreed that all committee members should use their personal contacts to try and raise sponsorship for the libraries through FLIT. Recent discussions with the Editor of the Courant had indicated they would not only, hopefully, support the Summer reading challenge, but would be interested in doing some PR pieces in the paper, possibly also for FLIT. PL to follow up.

 The Chairman will produce a newsletter soon, possibly nearer the tme to the Libraries review so we can relate to it.

5. Dates of next meetings: A committee meeting will be held on 26th June at Hexham Library at 7.30pm. The Chairman would invite the new head of Libraries

The AGM would be held on September 26th at 7pm at Prudhoe Library.
